The following terms and conditions apply to all Avalon Youth Theatre workshops, rehearsals and performances.

We require parents and/or guardians to read, understand and agree to these terms and conditions. All forms must be completed by a parent or guardian of the participant.

Workshops

  1. Please note attending an Avalon workshop does not guarantee a place in Avalon Youth Theatre
  2. The £10 workshop fee is payable on booking and is non-refundable
  3. Children must arrive and be collected on time
  4. While booking you will be asked to give permission to use images of the participant for Avalon Youth Theatre promotional purposes. These may be used in publications, for training and archive purposes, online and digital media. 
  5. An individual headshot will be taken of every child attending the workshop for internal Avalon use. These will be deleted 3 months after last attendance
  6. All Avalon Youth Theatre activities are intended to be productive and enjoyable for everyone attending.
  7. In order to ensure that all attending have an opportunity to participate fully please observe the following guidelines: Participants should – 
  • Arrive on time; 
  • Be appropriately dressed wearing an Avalon t-shirt, comfortable bottoms and socks. Please note no skirts.
  • Sweets and chewing gum are not allowed at Avalon
  • Switch off their mobile telephone; 
  • Follow instructions from Avalon Youth Theatre adults; 
  • Be courteous and polite to all; 
  • Always behave sensibly and responsibly and be aware of their safety and the safety of others.
  1. Avalon Youth Theatre will not tolerate bullying or any other form of abuse. We therefore reserve the right to remove/bar participants on the grounds of disruptive behaviour.
  2. Workshop attendees will be given an opportunity to apply for a place in Avalon Youth Theatre. If successful you will be contacted within 3 weeks of applying.
  3. We shall not be in breach, nor liable for failure to perform, any of our obligations under this agreement if the workshop is prevented, interrupted or delayed by any cause outside our control including, but not limited to, the virus known as COVID-19.

Members

Termly Subs, show fees and payment

  1. Termly Subs are due before or on the first Monday of each term - £50
  2. Show fee is due on or before 1st January (show fee includes a show t-shirt) - £20
  3. New members are required to purchase an Avalon t-shirt to wear to all sessions - £10
  4. Payments are to be made via the online link on the website (please note there may be a surcharge for online payments) or by BACS.

  1. Avalon Youth Theatre offers a discount if there two or more siblings are members. Please note that the first child pays in full and any additional sibling receives a £10 termly discount.

Keeping in contact/Data protection

  1. Any personal data which is provided by you pursuant to this application and agreement will be held and processed by us in accordance with data protection laws and our privacy policy for the purpose of managing, developing and producing the workshop, rehearsals or show. Medical conditions and additional support

  1. Avalon Youth Theatre welcomes participants with medical conditions, disabilities and/or additional support needs. In order that we can create a positive, safe, fun and educational experience for participants, it is important that we are fully aware of any medical condition, disability and/or special needs that participants may have.
  2. It is important to stress that any information provided by you will be treated in the strictest confidence. Applicants will not be screened for any physical or learning ability.
  3. Please provide complete and accurate information. This information will only be used for the benefit of the participant to create a positive and enjoyable experience while being a member of Avalon Youth Theatre.

Permission for the use of photographs and recorded images

  1. On the membership form you will be asked to give us permission to use images of the participant for Avalon Youth Theatre promotional purposes. These may be used in publications, for training and archive purposes, online and digital media. 
  2. Avalon Youth Theatre recognises the need to ensure the welfare and the safety of all participants involved in its activities. As part of our commitment to ensure the safety of participants we will not permit photographs, video or other images of participants to be taken or used without the consent of the parents/guardians (where applicable) and the participant.
  3. Avalon Youth Theatre will follow national guidance for the use of images of children and young people and will also take all steps to ensure these images are used solely for the purpose for which they are intended, which is the promotion and celebration of the activity of the participants at Avalon Youth Theatre. If you become aware that these images are being used inappropriately you should inform Avalon Youth Theatre immediately.
  4. Please note that participants and audiences will not be allowed to take photographs and/or video during performances.
  5. If at any time either the parent/guardian or the participant wishes the data to be removed from the website or from a publication, notice must be given to Avalon Youth Theatre in writing, after which the data will be removed within the appropriate timescales.

Participation

  2. If you are unable to attend a session, please report this to Avalon Youth Theatre  (by calling/texting 07561 052994 ) as soon as possible, so that this can be reported to the tutor/director and the session plan can therefore be adapted for the rest of the group.
  1. Occasionally, Avalon Youth Theatre may need to change the times for rehearsals. We will let participants and parents/guardians know in advance.
